This policy explains what personal data Reflechir Consultancy FZE (“Reflechir”, “we”, “us”) collects when you use reflechirconsultancy.com, contact us, engage our services, or interact with the software tools we operate (including our internal application “Reflechir Publisher”), and how we use and protect it. We handle personal data in line with the UAE Personal Data Protection Law and the professional obligations that apply to an accounting and tax firm in the UAE.
Who we are
Reflechir Consultancy FZE is an accounting and tax consultancy licensed in the UAE, with its office at Iris Bay Tower, Office 1749, Business Bay, Dubai. For anything relating to your personal data, write to info@reflechir.org or call +971 58 593 1140.
What we collect
- Details you give us. When you fill in a form, request a quote, run an online assessment, book a call or message us on WhatsApp, we collect what you provide: typically your name, company, email address, phone number, and information about your business such as the accounting software you use, your approximate monthly transaction volume, revenue band and customer type.
- Client records. If you become a client, we collect the information needed to deliver bookkeeping, VAT, corporate tax and related services, including identification and company documents required by UAE anti-money-laundering rules.
- Usage data. Our website records standard technical data such as IP address, browser type, pages viewed and referring site, through cookies and similar technologies (see “Cookies and analytics” below).
How we use it
- To respond to your enquiry, prepare a fee proposal and go through an assessment result with you.
- To deliver and administer our services, including invoicing and client communication.
- To meet our legal and professional obligations, including client due diligence and record-keeping under UAE anti-money-laundering and tax rules.
- To send you relevant updates about UAE tax, e-invoicing and accounting matters, where you have agreed to receive them. You can opt out at any time.
- To measure and improve our website and advertising, in aggregate.
We rely on your consent (for marketing and non-essential cookies), on the steps needed to enter into or perform a contract with you, on our legal obligations, and on our legitimate interest in running and promoting our practice.
Cookies and analytics
We use Google Analytics to understand how visitors use the site, and Google Ads conversion tracking to measure whether our advertising leads to enquiries. These services set cookies and may process your IP address and device identifiers; Google’s handling of that data is described in Google’s own privacy policy. We do not use this data to identify you personally. You can block or delete cookies in your browser settings; the site will still work, though some features may be limited.
Google services and the Reflechir Publisher application
Reflechir operates an internal software application, “Reflechir Publisher”, which connects to Google services through Google’s APIs. It is used only by Reflechir staff, on Reflechir’s own Google accounts, to manage our own Google Ads campaigns, publish updates and reply to reviews on our own Google Business Profile, and read Google Search Console performance data for this website. It does not request or receive access to any other person’s Google account or data.
- Data accessed: our advertising campaign settings and performance statistics, our Business Profile listing, reviews and performance statistics, and Search Console statistics for reflechirconsultancy.com. Reviews may include the public name and review text of people who have reviewed our business on Google.
- How it is used: to report on and adjust our own advertising, to publish business updates, to draft replies to reviews (which are always approved by a member of our team before posting), and to improve our website content.
- Storage and sharing: the application runs on a server controlled by Reflechir. Data obtained from Google APIs is kept only as long as needed for these purposes, is not sold, and is not shared with third parties except the service providers that host and operate the application for us. We do not use Google user data to build profiles for advertising to anyone, and we do not allow humans to read this data except where needed for the purposes above, for security, or where required by law.
- Your Google data: if you have reviewed our business on Google, you control that review through your own Google account. If you believe we hold Google-sourced data about you, contact info@reflechir.org.
Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Who we share data with
- Service providers who help us run the business and the website: web hosting, email, scheduling (Calendly), messaging (WhatsApp), accounting and client-management software, and Google’s analytics and advertising services. They may only use your data to provide their service to us.
- Professional partners involved in your engagement, such as an external audit firm, where you have asked us to coordinate with them.
- Authorities such as the Federal Tax Authority or regulators, where the law requires or permits it.
We do not sell personal data. Some providers store data outside the UAE; where that happens we take reasonable steps to make sure it is protected to a standard consistent with UAE law.
How long we keep it
Enquiry details are kept for as long as needed to respond and follow up, and normally no longer than two years if you do not become a client. Client records are kept for the period required by UAE tax and anti-money-laundering rules, generally at least five years after the engagement ends, and are then securely deleted.
Your rights
You can ask us to confirm what personal data we hold about you, to correct it, to delete it where we no longer need it, to restrict or object to certain uses, and to withdraw consent for marketing at any time. Email info@reflechir.org and we will respond within a reasonable time. Some data must be retained where the law requires it.
Security
We use appropriate technical and organisational measures, including encrypted connections, access controls and secure cloud systems, to protect personal data against loss, misuse and unauthorised access.
Children
Our services are for businesses and their representatives. We do not knowingly collect personal data from anyone under 18.
