e-Invoicing Readiness Assessment
Every e-invoicing project that goes wrong goes wrong for the same reason: the business assumed its system could do it, discovered late that it could not, and rushed the fix. A readiness assessment answers the question before money is spent on software or providers: what does the framework require of this business, what can it already do, and what has to change.
Reflechir’s assessment is a fixed-scope review completed in two to three weeks, ending in a written report that management can act on and that an implementation partner can work from.
What the assessment examines
- Scope and phase: which of your transactions fall within the mandate, which entities in the group are affected, and which rollout phase applies to each, so the deadline is known.
- Invoicing processes: how invoices, credit notes and self-billed documents are raised today, by whom, from which systems, and where manual steps, templates or spreadsheets sit in the flow.
- Systems: whether the accounting or ERP platform can generate the required structured data natively, through an add-on, or only through an external converter, and what the vendor's own e-invoicing roadmap says.
- Master data: customer and supplier records, tax registration numbers, addresses, item and tax code tables, tested against the mandatory fields to find the gaps that would cause validation failures.
- Inbound invoices: how supplier invoices are received and processed, since the framework covers what you receive as well as what you issue.
- People and controls: who needs to change what they do, what approval steps exist, and how exceptions and rejections will be handled.
What you receive
- Gap report: each requirement of the framework marked as met, partially met or not met, with the evidence.
- Options and recommendation: the realistic routes to compliance for your system, whether native module, add-on, middleware or system change, with the trade-offs of each.
- Costed plan: the steps, sequence, indicative cost and timeline to reach go-live ahead of your phase deadline, including data clean-up and training.
- Provider shortlist: accredited service providers that fit your system and volume, with the questions to ask each.
- Management briefing: a short presentation of the findings to the owners or board, so the decision to proceed is made on facts.
How the engagement works
Reflechir holds a scoping call, collects sample invoices, system details and master data extracts, interviews the finance and sales-admin staff involved in invoicing, and tests the system’s output against the specification. The report and briefing follow within two to three weeks. The fee is fixed and depends on the number of entities and billing systems in scope, and it is credited against the integration engagement if you proceed with Reflechir.
Why Reflechir
- Independent of software vendors: the recommendation is what works for you, not what we resell.
- VAT knowledge built in: the assessment also catches VAT treatment errors in the invoicing process, which the framework's validation would otherwise expose.
- A plan you can hand to anyone: the report is written so any implementer, including your own IT team, can execute it.
