ERP and Accounting System Integration for e-Invoicing
Compliance with the UAE e-invoicing framework is delivered by a working connection between your accounting or ERP system and an accredited service provider, with every invoice leaving the system in the right structure, passing validation, reaching the customer and being reported to the FTA. Getting that connection right is a project with technical, data and process strands that have to land together.
Reflechir manages the integration from provider selection to go-live, working with your system vendor, your IT team or your outsourced developers, and taking responsibility for the outcome: compliant invoices issued from the system your people already use.
What the integration involves
- Accredited service provider selection: shortlisting providers that support your platform and volume, comparing pricing models, onboarding requirements and support, and contracting on your behalf.
- System configuration: enabling the e-invoicing capability in your platform, whether a native module, vendor add-on or middleware layer, and configuring document types, numbering, tax codes and approval flows.
- Data mapping: matching every mandatory and conditional field in the specification to a source in your system, and fixing the gaps in master data, item tables and tax settings that the mapping exposes.
- Inbound handling: setting up receipt of supplier e-invoices into the purchase ledger, with matching to purchase orders and goods receipts where you use them.
- Testing: end-to-end tests of every invoice scenario you actually use, including credit notes, multi-currency, discounts, zero-rated and exempt supplies, reverse charge and intercompany, against the provider's test environment.
- Go-live and hypercare: a controlled cut-over, monitoring of the first weeks of live traffic, and rapid resolution of rejections.
Platforms we work with
- Zoho Books and Zoho One: Reflechir's own platform for outsourced clients, with the e-invoicing configuration handled directly.
- SAP Business One, Oracle NetSuite, Microsoft Dynamics 365 Business Central: configuration of the vendor's e-invoicing capabilities and connection to the chosen provider.
- QuickBooks, Xero, Odoo and Tally: add-on or middleware routes depending on the version and the vendor's UAE roadmap.
- Bespoke and legacy systems: extraction and transformation layers where the source system cannot be changed, with a plan for eventual replacement.
How the engagement works
The integration follows the plan from the readiness assessment, or begins with a shortened version of it if the assessment was done elsewhere. Reflechir acts as project manager and functional lead, coordinates the technical work between your system vendor and the service provider, runs the testing with your finance team and signs off go-live. Fees are fixed per entity and platform, with the provider’s own fees contracted separately and passed through at cost.
Why Reflechir
- Accountants running the project: the mapping and testing are done by people who understand what each invoice field means for VAT, not only how to move data.
- One point of responsibility: vendor, provider and internal IT all report into one plan and one owner.
- Straight into ongoing compliance: after go-live the same team monitors the connection and reconciles reported invoices to the VAT return.
