e-Invoicing Training for Finance Teams
An e-invoicing system is only as compliant as the people using it. The staff who raise invoices, approve them, set up customers and process supplier bills decide every day whether the data entering the system will pass validation and match the VAT return. Most rejections and reconciliation differences after go-live trace back to a process change that was never explained to the person doing the work.
Reflechir delivers role-based training built around your own system and your own invoice scenarios, so the team learns what changes for them specifically, not the theory of the framework.
Who the training is for
- Finance and accounts teams: raising invoices and credit notes, clearing rejections, reconciling reported data to the ledger and the VAT return.
- Sales administration and billing staff: creating customers correctly, capturing the data the invoice needs at order stage, and understanding why an invoice can no longer be edited after issue.
- Procurement and accounts payable: receiving supplier e-invoices, matching and approving them, and what to do when a supplier sends a non-compliant document.
- Management and owners: what the framework changes about cash flow, customer disputes, VAT exposure and record-keeping, and what to monitor.
- IT and systems staff: how the integration works, where the logs are, and how to escalate to the provider.
What the sessions cover
- The framework in plain terms: what an e-invoice is, how it travels from your system to the customer and the FTA, and what validation checks it must pass.
- Your process, before and after: a walk-through of each invoicing scenario your business actually has, showing exactly what changes at each step.
- Hands-on practice: raising invoices, credit notes and corrections in the test environment, deliberately triggering rejections and learning to read and fix them.
- Master data discipline: the fields that must be right at customer, supplier and item set-up, and the checks to run before saving.
- Exceptions and escalation: who does what when an invoice is rejected, a customer disputes a document, or the provider is unavailable.
- Quick-reference materials: one-page guides per role, checklists and a short recorded session for new joiners.
How the engagement works
Training is delivered in half-day sessions per role group, on site or online, timed a few weeks before go-live with a refresher after the first month of live invoicing. Sessions use your system and your provider’s test environment, so materials are prepared after a short discovery of your invoicing scenarios. Fees are fixed per session, with a package price for the full programme; where Reflechir has done the integration, discovery is already complete.
Why Reflechir
- Trainers who run the process: sessions are led by the accountants who configure and reconcile e-invoicing for clients, not by generic trainers.
- Specific to your set-up: every example is one your team will meet at their desk.
- Fewer rejections, cleaner returns: training is measured by what happens after go-live, and we come back to check.
If your team is about to go live on e-invoicing, or has gone live and is struggling with rejections, contact Reflechir Consultancy to arrange training.
